Schedule

Brian creates the WhyJustRun placeholders from which the Orienteering Manitoba schedule on our website is generated. If you need to change the basic event information contact Brian. Even if you are comfortable making your own changes please inform Brian so that the Board is informed of all schedule changes.

Event Registration

At least two weeks before the event (or as soon as you know it), you need to submit the event information using this form. This year WilDer assistants will look after setting up the 2M registration page, and link it from the schedule when it's live. The online system handles payments as well as waivers. The info needed are: contact name, phone number, and email address, event details including exact meeting location, start time, list of courses, and registration closing date and time.

There is a set fee structure for regular events, see at the bottom of the event schedule page.

Event Announcement

Normally a week before the event, we send out the email announcing the event via MailChimp. The announcement includes: date and time, location, event type, organizer name and phone number and email, registration deadline, as well as the URL of the registration page – the event must be ready for registration. When the page on 2M has been set up, we have all the info needed for the announcement. The emails are scheduled. You will receive a test email for proofreading.

Please note that the emailing list is used only for announcing events, not to communicate with the participants of your event.

Maps

Please ensure you download the current map file from the website so as to get an up-to-date version. Ask a Board member for the password. The map file is to be used for the sole purpose of organizing your event, and is not to be shared.

Thomas is in charge of the website, if you make edits to a map send him the file for archival.

Course Planning

The Condes software version 10 is available to all members. Thomas can assist with software installation. Ask for the license code. For course planning questions there are experienced members and controllers you can connect with. For Condes software questions there are also online resources available.

Equipment

Kelly is the equipment manager. Contact him about getting a set of controls and returning equipment. Check the bin for map cases (size and quantity). Each SI set has instructions on Time Mastering the controls. Signs, canopy tents, feather flag, power pack are available.

Timing and Results

Someone has to set up the timing software for your event. We recommend using MeOS. Immediately after the event, export the result data and send them to Thomas for uploading to the website.

Expense Claim

Kelly is the Treasurer, submit your expense claim form to him. You can use or replicate the form found in the Expense Policy document. Reimbursement is by e-transfer unless a cheque is requested.

Database of courses

Please send us your digital course maps for the records of the association.

  1. Print/Export each course full page as a pdf (or scan it or take a clean photo of it).
    one course = one page = one file

  2. Name each file as: ISO date [map name] event/course type
    Examples:
    2022-08-27 [Kildonan Park] short
    2022-08-27 [Kildonan Park] long

  3. Send the files or a link to the files to the secretary Gilles.
    If you have a Google account you may alternatively use this form for uploading files to our Drive.
